PALOMA PILATES

Terms & Conditions — Version 1.A

Last updated: 21.09.2026

Welcome to Paloma.

We want the studio to feel like a place you genuinely enjoy coming to — somewhere to

move, get stronger, switch off and spend time with good people.

These Terms & Conditions are here to keep things clear, fair and easy for everyone.

By creating a Paloma account, purchasing a class, membership or other service,

making a booking, or attending a class at Paloma, you agree to these Terms.

Booking Your Classes

Classes at Paloma are intentionally kept small, so every reformer and every spot

matters.

All classes must be booked in advance through our booking platform, Mindbody, or

another booking method provided by Paloma.

Your place in a class is confirmed once your booking has been successfully completed.

Please check your booking confirmation and make sure the date and time are correct.

If a class is full, you may be able to join the waitlist.

Cancelling a Class

We completely understand that plans change.

At the same time, when you book a class, that reformer is being held especially for you.

Late cancellations mean another member may miss out on the chance to attend.

Our cancellation window is 12 hours. If you cancel 12 hours or more before your class, your class credit will be returned or

your membership class will remain available for you to use.

If you cancel within 12 hours of your class, your class credit will be forfeited.

If you don't cancel and don't attend, the booking will be treated as a no-show.

A €10 no-show fee will apply, in addition to the loss of the class credit.

We always encourage you to cancel as soon as you know you can't make it — even if

you're already inside the 12-hour window. It gives someone else the opportunity to take

your place.

Life happens

We know that sometimes things happen that are genuinely outside your control.

Paloma may use reasonable discretion to waive a late cancellation or no-show fee in

exceptional circumstances. This is intended for genuine situations and is not an

automatic entitlement.

Waitlist

If your favourite class is full, don't give up just yet.

You can join the waitlist through Mindbody when this option is available.

If a place becomes available, you may be notified or automatically moved into the class

depending on how the booking system is configured.

Once you have been added to the class, our normal 12-hour cancellation policy

applies.

If your plans change, please remove yourself from the waitlist as soon as possible so

someone else has the opportunity to join.

Arriving for Class

We recommend arriving 10 minutes before your class. This gives you time to say hello, put your things away, get settled on your reformer and

start your class without rushing.

For everyone's safety, late entry will only be permitted within the first 5 minutes of

the scheduled class, and only where the instructor considers it safe and appropriate.

After 5 minutes, entry will not be permitted.

If you arrive more than 5 minutes late, your booking will be treated as a late

cancellation/no-show and the applicable class credit and/or fee will apply.

We promise the intention isn't to be strict — it's simply about keeping the room calm

and making sure everyone can start their practice safely.

Memberships

At Paloma, we believe movement should become part of your lifestyle — not just

another thing on your to-do list.

Our memberships are designed to support consistency, progress and long-term

wellbeing.

Memberships are personal to you and cannot be shared or transferred to another

person.

Memberships do not guarantee a place in a particular class. Classes must still be

booked in advance and are subject to availability.

Unused membership classes do not roll over into the following month.

This is because membership pricing is based on regular monthly access rather than

individual class credits.

Membership Commitment

Introductory Membership

The introductory membership is subject to a 12-month minimum commitment. The specific terms, price and benefits of the introductory membership will be shown to

you before purchase.

[TO CONFIRM: Does the 12-month commitment apply to a specific Introductory

Membership product, or to all clients who purchase following the introductory

offer?]

Other Memberships

The minimum commitment and cancellation terms for our other membership options

are [TO CONFIRM].

These will always be clearly communicated before you purchase your membership.

Pausing Your Membership

We understand that life doesn't always follow the plan.

Where your membership allows you to pause, you may request a membership freeze.

Standard Freeze

We suggest allowing one month of membership freeze per 12-month period.

A freeze should generally be requested in advance and will take effect once confirmed

by Paloma.

Pregnancy, Injury or Exceptional Circumstances

We also understand that some circumstances need a little more flexibility.

Pregnancy, significant injury, medical circumstances or other exceptional situations

may be considered for a longer freeze period, potentially up to 6 months, subject to

reasonable supporting information where appropriate.

These requests will be considered individually and fairly.

A freeze cannot generally be applied retrospectively.Cancelling Your Membership

We want cancelling to be straightforward.

For memberships that do not have a minimum commitment, we recommend a 30-day

notice period for cancellation.

Cancellation requests should be made through the method provided by Paloma, such

as email or through the booking platform where available.

Your membership will remain active during the applicable notice period, unless

otherwise agreed.

Where a membership has a 12-month minimum commitment, cancellation before the

end of that period will generally not be available simply because you no longer wish to

continue, subject to any rights you may have under applicable Spanish consumer law

or circumstances that legally allow early termination.

Nothing in these Terms limits any statutory cancellation or termination rights available

to you.

Payments

All prices are displayed in euros (€).

Prices include applicable taxes where required.

Payments can be made using the payment methods available through Paloma and

Mindbody.

For memberships with recurring payments, the payment amount and frequency will be

shown before you confirm your membership.

Please make sure your payment details are kept up to date.

If a payment fails, we'll contact you to arrange payment of the outstanding amount.

Access to classes or membership benefits may be temporarily paused until an

outstanding payment has been resolved, subject to applicable law.Any additional payment or failed-payment fee will be communicated before it is

charged.

Refunds, Transfers & Extensions

We want our purchasing policies to be clear from the beginning.

Classes & Class Packs

Class credits cannot be transferred to another person.

Memberships

Memberships are personal and cannot be shared or transferred.

Unused membership classes do not roll over into a subsequent membership period.

Expired Credits

Once a class pack has expired, unused credits cannot generally be extended.

If Paloma Cancels

If Paloma cancels a class or is unable to provide a service you have paid for, we will

provide an appropriate remedy in accordance with the circumstances and applicable

law.

If we need to cancel a class, we'll let you know as soon as reasonably possible and,

where appropriate, offer a replacement class, credit, refund or other suitable solution.

Your Health & Your Practice

Pilates is movement, and movement should feel good.

However, as with any form of physical activity, there is a possibility of injury.

You are responsible for making sure that the classes you attend are suitable for your

current health, fitness and experience. Before participating, please tell your instructor about anything that may affect your

ability to exercise safely, including relevant injuries, medical conditions, physical

limitations or pregnancy.

If you're unsure whether Pilates is suitable for you, we recommend speaking with an

appropriate healthcare professional before attending.

During class, please listen to your body. If something doesn't feel right, stop and let

your instructor know.

Our instructors may modify an exercise, recommend an alternative or ask you to stop

an exercise if they believe it is necessary for your safety.

Personal Belongings

Please keep your personal belongings in the areas provided by the studio.

We recommend leaving valuables at home where possible.

Paloma cannot accept responsibility for lost, stolen or damaged personal belongings

except where responsibility cannot legally be excluded.

If you find something that isn't yours, please hand it to a member of the Paloma team.

Photos & Filming

From time to time, we may take photographs or videos around the studio for Paloma's

social media, website or other marketing.

Where an identifiable client is used for promotional purposes, we will obtain the

appropriate consent where required.

If you don't want to appear in photographs or videos, please let a member of the

Paloma team know.

We also ask that clients don't photograph or film other clients without their permission.Your Agreement With Us

By creating a Paloma account, purchasing a service, making a booking or attending a

class, you confirm that you have read and agree to these Terms & Conditions.

And, most importantly:

Move well. Be kind. Have fun. Make yourself at home.
